Operations Administrator
We have an exciting opportunity for an organised and motivated individual to join our client at their London office. Our client work within the clean energy sector.
As an Operations Administrator, you will be responsible for all administrative duties relating to HR activities and the facilities management coordination of the small office.
This is a full time office based role, on a 6 month basis. There is every possibility this could be extended further. Please be aware it is a small team and this role would be more suited to someone who enjoys a quiet office environment.
HR Tasks (70%):
- First point of contact for HR process and policy related queries, including the
management of the HR inbox
- Coordinate employment checks for all new starters.
- Providing relevant site induction for new starters.
- Generate offer letters, contracts and other employment-related documentation.
- Administer the employee lifecycle including hires, promotions, transfers, leavers,
- maternity etc.
- Collate and input all payroll data, to a strict deadline.
- Support the probation process, following up with managers for outstanding forms
- and tracking probation completion.
- Respond to telephone and written enquiries / requests for information, including
- reference requests, mortgage requests or external submissions.
- HR Systems, ensuring accurate employee records, both manual and
- computerised, are fully maintained in line with data protection legislation.
- Ensuring all absence documentation is returned to by managers and processed on
- the HRIS system and payroll.
- Update and maintain the HR section of Compass.
- Manage and maintain the company annual leave system.
- Ad hoc duties as assigned.
Facilities (30%):
- Acting as the first point of contact for the office.
- Maintain office communications, (notice boards as well as FM-related email
- circulars)
- Initial point of contact for all FM related suppliers, including, amongst others,
- Landlord’s FM agent and sub-contractors, office cleaners and fire risk control.
- Maintain office supplies such as, stationery, toner for the printers and kitchen
- supplies.
- Notify the external FM Helpdesk about maintenance and office security issues.
- Escalate issues requiring immediate action as appropriate, including providing
- access to maintenance contractors. Keep Exec Assistant informed of such issues.
- Report IT matters to the IT Helpdesk and assist IT Support when required.
- Opening of all incoming mail and direct to the correct person and dealing with all
- outgoing post.
- Open ad-hoc deliveries and inform the correct person their delivery has arrived.
Skills and Experience:
- CIPD level 3 desirable, but not essential.
- Previous experience within a similar role.
- Previous experience working with HR systems.
- Experience of working for multiple departments.
- Trained first aider and fire warden.
- Self-starter individual with a can-do attitude.
- Energetic and enthusiastic.
