Description

Great opportunity for an exceptional Receptionist with broader Administration / Office Management skills. The Receptionist / Administration Officer/Manager will lead on the Administration services as well as "front of house" (Reception) duties for this global business based near Green Park in Reading.


The role will have a number of requirements in supporting the business with key responsibility for Reception, facilities and Health & Safety to help drive continuous improvement, great service levels and an efficient working environment for employees to flourish.


Key areas of responsibility will include:


  • Reception

  • To provide first class customer care and hospitality to customers and visitors both face to face and by telephone
  • Route incoming calls to switchboard through to recipient as quickly and efficiently as possible
  • Provide an exceptional and efficient ‘front of house’ service to all employees and visitors
  • Log all hand delivered parcels and letters arriving via reception and inform recipient(s)
  • Administration:

  • Maintain the internal telephone system, ensuring all new employee’s numbers are added
  • Manage all corporate stationary
  • Arrangement of internal Communications and meetings.
  • Organise catering requests for both internal and external customer meetings, document all catering costs for reconciliation with accounts and take responsibility for the stock of beverages and catering supplies and re-order when necessary.
  • Organise Taxi bookings as requested and document use and costs for reconciliation with accounts
  • Overseeing travel and accommodation procedure in order to arrange travel and accommodation for associates
  • Facilities

  • Facilities; management and regular review of building maintenance service contracts via contractors
  • Monitoring and scheduling all contractors visits to ensure that the day to day running of the office is functional.
  • Ensuring access-controlled environment is maintained and fully functional.
  • Health & Safety

  • Arranging all external safety training for associates to ensure adequate safety cover for facility
  • Carrying out office safety walkthroughs for all new staff. and annual walkthroughs for existing staff
  • Monthly reporting of safety figures
  • Ensuring First Aid boxes have correct supplies
  • Arrangement for delivery and collection of company cars for staff with external suppliers.
  • Ensuring vehicle MOT and re-call notices are acted upon by vehicle users and vehicle checks are completed and returned on a monthly basis
  • Committed to product and workplace safety in line with the company safety policy
  • Leads and participates in Rapid Continuous Improvement to contribute to the delivery of safety, quality, delivery and cost saving
