- Description
The Office Administrator will be responsible for the day-to-day running of the facility which houses the Operations & Engineering teams and will assist in areas such as purchasing support, facilities management, asset management and general business support tasks as required.
Responsibilities:
- Acting as facilities coordinator for services used within the company’s Operations & Engineering Facility, such as reporting equipment faults and co-ordinating repairs.
- General administration duties for all Stoke on Trent teams, including stationery and office supplies, travel bookings, and other goods and services as required.
- Supporting the management of stock control on IT assets, licencing and support agreements, ensuring assets are logged, managed and tracked through the company’s Configuration Management Database (CMDB).
- Assisting in the preparation of management reports for senior management awareness of services both in transition and live service.
- Update relevant documents i.e. employee registers, health and safety documents on a monthly basis.
- Update access cards and provide codes when appropriate.
- Receiving and assisting visitors as and when necessary.
- Dealing with purchase requirements; liaising with all departments and sourcing materials, goods, and services.
- Ordering stationery and office supplies.
- Collating and uploading credit card receipts to meet monthly reconciliation deadlines.
- Administration of corporate travel, hotels, and events.
- Setting up new users in the finance system, both internal (new starters) and external (suppliers).
Qualifications
- Good educational background. Minimum GCSE Maths and English A-C/ 9-5.
Skills and Experience
- Proficient in the use of Microsoft Office tools (Word, Excel, PowerPoint).
- Previous experience in a similar role would be advantageous.
- Demonstrable organisational and time management skills, including the ability to manage competing priorities, monitor and coordinate a range of processes.
- Ability to plan for tight deadlines and achieve desired outcomes.
- Excellent written, verbal and interpersonal skills with a keen eye for attention to detail.
- Ability to obtain MOD security clearance to SC level.
