Our client is an amazing internationally recognised values driven organisation seeking an Interim Team Administrator to join their team on a 9-12 month contract to cover maternity leave. This is a part time position based in the client's stunning offices in Oxfordshire, working 8.30am to 3.30pm, with Wednesday as the non-working day - a total of 29 hours per working week. Please note that there is total flexibility for the non-working day to be a Thursday if you would prefer.
This interesting and varied role will cover the following key responsibilities:
- Organise agenda's and diarise meetings including regular weekly meetings, strategy meetings, offsite events/training, teambuilding time.
- Attend the weekly meeting to take minutes and log actions.
- Support the team with organising their external and larger cross functional meetings as requested.
- Full diary management for both the CEO and COO.
- Deal with speculative calls and emails.
- Support with B'Corp related meetings and activities including minute taking as required.
- Prepare presentations and key communications.
- Arrange external speaking opportunities and support with the prep of these.
- Book office desks and meeting rooms as required at the offices
- Support with social media.
- Remind the CEO and COO of upcoming deadlines.
- Build and manage the internal yearly budget.
- Collate and submit expenses.
- Organise and book international and UK travel for the CEO + COO.
- Organise and book international and UK travel for team events.
- Work closely with the COO to organise the yearly strategy session including organising a venue, coordinating the running order, collating materials, liaising with external speakers/trainers.
- Liaise with external speakers sourced by the team and book speaking slots at the company lunches.
- Work with the events team to organise the Summer and Christmas parties.
- Cover phones on a regular basis.
- General support to the Facilities team around the office
Skills, qualities and experience required:
- Strong administration experience including diary management possibly gained as a PA.
- Strong attention to detail, super-duper organisation skills with a logical/methodical and proactive approach.
- Fantastic communication skills and an approachable manner.
- Absolute discretion regarding sensitive issues.
- Strong knowledge of + experience of using MS Office applications.
